Applicant Privacy Notice

Who this notice is for: anyone who applies for a job at Upyugo, whether through our Careers page or by sending us a CV another way. It sits alongside our main Privacy Policy, which covers everything else.

1. Who we are

2. What we collect

Please do not include sensitive information in your CV or answers, such as health details, religion, caste, or government ID numbers. We do not need it to assess your application.

3. How we use it, and on what basis

We use your information only to consider you for the role you applied for, and to contact you about it.

If your CV reaches us by email, through a referral or on WhatsApp, we add it to our hiring system and may email you from career@upyugoglobal.com inviting you to answer the role's questions on our website, and may resend that same invitation. Nothing else is sent to you unless you reply or apply.

  • India (Digital Personal Data Protection Act, 2023): we process your data on the basis of the consent you give when you tick the box on the application form.
  • UK and EU (UK GDPR / EU GDPR): we rely on taking steps at your request before a possible employment contract (Article 6(1)(b)), and on our legitimate interest in recruiting suitable people (Article 6(1)(f)).

If your CV reached us by email, WhatsApp or through someone who referred you, we use it only to consider you for a role and to invite you to apply. We do this because you shared it with us for that purpose, or agreed to the person who referred you sharing it.

We do not use your application for marketing, and we do not sell it or share it with recruiters or other companies.

4. Who can see it

  • Our HR team and company administrators.
  • Upyugo staff HR asks to interview you. They see only your CV, your answers and the interview arrangements, and only for the applications they are assigned to.
  • Google, which hosts our website database and file storage (Google Firebase), acting on our instructions.
  • Microsoft, which runs our company email (Microsoft 365), for the invitation email and any reply you send.

5. How long we keep it

If you are not hired, we automatically delete your application, CV, answers and interview notes 12 months after you apply. This lets us contact you if a similar role opens up within that time. CVs we received by email, referral or WhatsApp are deleted on the same 12-month timetable, counted from when we received them, even if you never answer our invitation.

If you are hired, your application becomes part of your employment record and is kept under the terms that apply to employees.

You can ask us to delete your application sooner at any time (see below).

6. Your rights

You can ask us to:

  • tell you what information we hold about you, and give you a copy;
  • correct anything that is wrong;
  • delete your application, or withdraw your consent, which ends your application;
  • explain how a decision about your application was reached.

Email career@upyugoglobal.com with the subject line “Job application data”. We reply within 30 days.

If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Data Protection Board of India, or, if you are in the UK, to the Information Commissioner's Office (ico.org.uk).

7. Changes to this notice

If we change how we handle applicant data, we will update this page and the date at the top.
