Medipulse Hospital: moving a high-volume hospital from Tally to Zoho Books

We diagnosed an overloaded Tally company, designed a Zoho Books structure that records about 26,250 bills a month as about 795 invoices, and built a tool that checks every import.

26,250 → 795monthly bills recorded as about 795 Zoho Books invoices, by design
26,169 of 26,250August 2026 bills matched to the old books, exceptions listed
223,000ledgers in the old Tally company, 206,000 of them for patients

The challenge

  1. 01

A ledger that had outgrown itself.

Fed bill by bill from the hospital system, the Tally company had grown to about 223,000 ledgers, 206,000 of them patient ledgers, and was crashing.

  2. 02

    Revenue in the wrong heads.

Outpatient revenue was being recorded under inpatient revenue heads, so the revenue analysis could not be relied on.

  3. 03

    Volume and sponsors.

In August 2026 alone there were about 26,250 bills and 47,152 collection rows. Collections from government schemes were reconciled bill by bill, by hand.

  4. 04

    Sensitive data, no maker-checker.

Patient data is of the highest sensitivity, and the old process had no maker-checker control.

What we built

  1. 1

Diagnosed the books at transaction level.

We tied voucher totals to ledger closing balances to prove where revenue was being misclassified.

  2. 2

Designed Zoho Books for a hospital.

Reporting tags for care type and payer type in place of a chart-of-accounts explosion; sponsors set up as customers, with patients not created as contacts; invoices day-wise, sponsor-wise and department-wise, with one line per doctor, so no doctor, department or sponsor analysis is lost.

  3. 3

    Kept advances apart from receivables.

An early trial posting showed advances being set off against debtors, so the design keeps advances and security deposits in their own control accounts. Two collection control accounts must each clear to zero.

  4. 4

    Reconciled August 2026.

Revenue, collections and purchases, from the hospital system to the books.

  5. 5

    Built the Medipulse Zoho tool.

A local application with Sales, Purchase, Collection and Patients modules. It checks and reconciles the hospital system's exports, maps sponsors, items and reporting tags, pulls masters from Zoho Books through its API, and produces the Zoho Books import files only when the critical checks pass, or when an authorised user overrides a failure with a recorded reason. The Patients module tracks advances, deposits, refunds and sponsor receivables patient by patient, and never writes to Zoho Books.

  6. 6

Made data safety part of the design.

The tool runs on a single computer and uploads nothing. Every file is stored with a fingerprint and read back before it is accepted, a re-imported file is counted once, backups are kept daily, and logins and an audit trail record who did what.

Results

  • The hospital approved the recording design. The first invoices were imported into Zoho Books on 16 October 2026, and the hospital went live in Zoho Books on 1 November 2026.

  • Invoice volume reduced by design from about 26,250 bills to about 795 invoices a month (computed from the August 2026 register).

  • August 2026 revenue matched to the old books for 26,169 of 26,250 bills, with every exception listed for resolution.

  • August 2026 receivables reconciled to within a few rupees, the difference being one receipt missing from the collection report.

  • The tool is covered by 439 automated tests and handles up to 250,000 rows per file in every module; a month of sales is processed in about a minute. Hospital staff are now testing it.

A direct link to the hospital information system is a later stage. Time saved has not been measured.
